1. About Nurse Note AI
Nurse Note AI is an AI-assisted documentation tool for healthcare professionals. Nurse Note AI is operated by Shift Calm LLC, doing business as Nurse Note AI ("Nurse Note AI," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use the Nurse Note AI mobile application, website, and related support services (collectively, the "Services").
Nurse Note AI assists users with organizing typed, pasted, or dictated information into documentation drafts. AI-generated content is a draft and must be reviewed, edited as necessary, and approved by the healthcare professional before use.
2. Information We Collect
- Account and sign-in information. We may collect your email address, account identifier, and information made available by the sign-in method you choose, including information made available by supported sign-in methods. If email verification or one-time codes are used, your email address is processed to deliver those messages.
- Documentation content. We process information you choose to type, paste, dictate, record, or submit to the Services, including rough notes, audio, transcripts, prompts, generated documentation drafts, saved notes, templates, and exports.
- Subscription information. We receive information needed to determine subscription status, such as purchase or transaction identifiers, product purchased, entitlement status, renewal status, and related receipt information. Payment-card information for in-app purchases is handled by the applicable app-store payment provider and is not provided to Nurse Note AI.
- Technical and service information. Our systems and service providers may process information such as IP address, device or operating-system information, timestamps, request and server logs, error information, and other information necessary to operate, secure, troubleshoot, and maintain the Services.
- Support communications. If you contact us, we collect the information you provide in your message and any attachments you choose to send.
3. How We Use Information
We use information to provide and operate the Services; authenticate users; send account and verification emails; transcribe audio when requested; generate and format documentation drafts; save and retrieve content when a user chooses a feature that requires storage; verify and manage subscription access; provide customer support; prevent abuse and security incidents; troubleshoot errors; maintain service reliability; comply with law; and enforce our terms.
We do not use Nurse Note AI to make clinical decisions for users. Healthcare professionals remain responsible for reviewing and approving documentation and for all clinical decisions.
4. AI Processing and Service Providers
We use carefully selected third-party service providers to operate and support Nurse Note AI. Depending on the feature you use, information may be processed by providers that perform functions such as AI-assisted text processing and transcription, cloud hosting and infrastructure, subscription and purchase management, transactional email delivery, authentication, and app-store services.
We share information with these providers only as reasonably necessary to provide, secure, maintain, and support the Services. For example, content submitted to an AI-powered feature may be transmitted to an AI processing provider so the requested draft, cleanup, formatting, or transcription can be generated. Subscription-related information may be processed by payment and subscription service providers to confirm access to paid features. Email addresses may be processed by an email delivery provider to send verification codes and service-related messages.
Third-party service providers process information under their own applicable terms, privacy commitments, and contractual obligations. We may change service providers as our technology and business needs evolve, and we will update this Privacy Policy when a change materially affects how personal information is handled.
We do not currently use third-party advertising networks to serve targeted advertisements in Nurse Note AI, and we do not sell personal information for money.
5. Patient Information, Sensitive Information, and Recordings
Do not enter or record patient names, dates of birth, medical record numbers, or other information that can identify a patient. Nurse Note AI is designed to be used without patient-identifying information. Users are responsible for removing identifying information before submitting content and for following their employer's privacy, documentation, consent, and security requirements.
Nurse Note AI does not claim that use of the Services automatically makes a user's workflow HIPAA compliant. A user's obligations may depend on the information entered, the user's organization, applicable agreements, configuration, and applicable law.
If you use voice recording, you are responsible for obtaining any consent required by law or workplace policy before recording another person. Do not record patients or other individuals without appropriate authorization.
6. Retention and Deletion
We retain information for as long as reasonably necessary to provide the Services, maintain your account and requested history, meet security and fraud-prevention needs, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods can vary by category of information and by the service provider involved.
Content that you save through a history or saved-note feature may remain associated with your account until you delete it, delete your account, or request deletion, subject to limited legal, security, backup, or fraud-prevention exceptions. Information sent to third-party processors may also be subject to their documented retention periods.
You may request access to, correction of, or deletion of your account information by contacting support@getnursenoteai.com. Where an in-app account-deletion control is available, you may also initiate deletion through that control. We may need to verify your identity before completing a privacy request.
Deleting a Nurse Note AI account does not automatically cancel an app-store subscription. App-store subscriptions must be managed separately through the applicable app-store account. Certain transaction records may be retained where required for accounting, fraud prevention, legal compliance, or dispute resolution.
7. Security
We use reasonable administrative, technical, and organizational safeguards intended to protect information from unauthorized access, loss, misuse, or alteration. No internet transmission, storage system, or security measure can guarantee absolute security.
Users should protect their account credentials, keep their devices secure, and avoid submitting patient-identifying information or other information that is not necessary to use the Services.
8. International Processing
Nurse Note AI and its service providers may process information in the United States and in other countries where they or their subprocessors operate. Privacy and data-protection laws may differ from those in your place of residence. Where required, we take steps intended to support lawful transfers of personal information.
9. Your Privacy Choices and Rights
Depending on where you live, you may have rights regarding your personal information, which can include rights to request access, correction, deletion, or a copy of certain information, and to appeal or opt out of certain processing where applicable. We will respond to valid requests as required by applicable law.
You can control microphone access through your device settings. You can choose not to use voice features and instead type or paste text. You may also choose not to provide optional information, although some features may not work without information necessary to provide them.

10. Children
Nurse Note AI is intended for healthcare professionals and is not directed to children under 18. We do not knowingly solicit personal information from children under 18. If you believe a child has provided personal information through the Services, contact us so we can review and address the request.
11. Disclosures Required by Law and Business Transfers
We may disclose information when reasonably necessary to comply with applicable law, legal process, or lawful governmental requests; protect the rights, safety, and security of users, Nurse Note AI, or others; investigate fraud or misuse; or enforce our agreements. If Nurse Note AI or relevant business assets are involved in a merger, acquisition, financing, reorganization, or sale, information may be transferred as part of that transaction subject to applicable law.
12. Changes to This Policy
We may update this Privacy Policy as the Services, providers, or legal requirements change. The "Last updated" date at the top of this page identifies the current version. If a change materially affects how we handle personal information, we will provide additional notice when required by law.
